1. Agreement to Terms

By accessing or using ProcessMyDocs ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you disagree with any part of these terms, you may not access the Service. ProcessMyDocs is operated by NovaVantix.

2. Service Description

ProcessMyDocs is an AI-powered document processing platform that enables users to:

• Upload and store documents securely in cloud storage
• Extract entities and structured data from documents using AI
• Validate and analyze document content with automated quality checks
• Chat with documents using AI-powered natural language queries
• Export extracted data in multiple formats (Excel, CSV, JSON)
• Access analytics and insights about processed documents

3. Subscription Plans and Pricing

We offer three subscription tiers with different features and limits:

4. Prepaid Recharge Model

ProcessMyDocs operates on a prepaid recharge subscription model:

• Manual Payment Required: We do not process automated recurring charges. You must manually renew your subscription before it expires.
• Payment Reminders: You will receive an in-app reminder 7 days before your billing date with a link to renew your subscription.
• Billing Periods: You may choose to prepay for 1 month, 3 months, 6 months, 9 months, or 1 year.
• Grace Period: You have until the billing date to complete payment. The 7-day reminder period is a courtesy notification.
• Account Access: Upon expiration, you will be automatically logged out and must select a new plan when you sign in again.
• No Automatic Refunds: All payments are prepaid and non-refundable as detailed in our Refund Policy.

5. Account Registration and Security

To use ProcessMyDocs, you must:

• Provide accurate, current, and complete information during registration
• Maintain the security of your password and account
• Notify us immediately of any unauthorized access or security breaches
• Accept responsibility for all activities that occur under your account
• Not share your account credentials with others
• Be at least 18 years of age or have parental/guardian consent

We reserve the right to suspend or terminate accounts that violate these terms or engage in suspicious activity.

6. Usage Limits and Fair Use

Your subscription plan includes specific monthly limits:

• Document Processing Limits: The number of documents you can process per month based on your plan (40, 100, or 200)
• Bulk Upload Limits: Maximum files that can be uploaded simultaneously (5, 30, or 100)
• Chat Query Limits: Number of AI chat queries allowed per month (15, 50, or 150)
• Reset Schedule: Limits reset on your billing date each month
• No Rollover: Unused document or chat query credits do not carry over to the next billing period

We reserve the right to enforce fair use policies and may suspend accounts that engage in excessive or abusive usage patterns, including but not limited to automated scraping, API abuse, or attempts to circumvent usage limits.

7. Subscription Renewal and Cancellation

Renewal Process

• 7 days before your billing date, you will receive an in-app reminder
• The reminder includes a payment link to renew your subscription
• You must complete payment before the billing date to maintain access
• If payment is not received by the billing date, your account will expire

Cancellation

• You may cancel your subscription at any time from your account settings
• No refunds will be issued for the current billing period
• You retain access until the end of your paid period
• Simply do not renew when prompted to cancel future billing

8. Account Suspension and Termination

We may suspend or terminate your account if:

• Your subscription expires and is not renewed
• You violate these Terms of Service or our Acceptable Use Policy
• Your payment fails or is disputed
• We detect fraudulent, abusive, or illegal activity
• You upload prohibited content or violate intellectual property rights

Upon expiration or termination:

• You will be automatically logged out
• Your documents and data remain stored for 30 days
• After 30 days, all data may be permanently deleted
• You may reactivate your account by selecting a new plan

9. User Content and Data Ownership

Your Content: You retain all ownership rights to the documents and content you upload to ProcessMyDocs. We do not claim any ownership over your content.

License Grant: By uploading content, you grant us a limited license to:

• Store your documents in our secure cloud infrastructure (Supabase Storage)
• Process your documents using AI/ML models to extract entities and insights
• Display your content back to you in our interface
• Generate analytics and summaries for your use

Data Usage: We do not:

• Use your content to train our AI models
• Share your documents with third parties (except as required by law)
• Sell or monetize your data
• Access your documents except for technical support or legal compliance

You are responsible for ensuring you have the right to upload and process all content you submit to the Service.

10. Intellectual Property Rights

The ProcessMyDocs Service, including its software, design, features, and branding, is owned by NovaVantix and protected by copyright, trademark, and other intellectual property laws.

You may not:

• Copy, modify, or reverse engineer any part of the Service
• Remove or alter any copyright, trademark, or proprietary notices
• Use our branding, logos, or trademarks without written permission
• Create derivative works based on the Service
• Extract or scrape data using automated means

11. Third-Party Services

ProcessMyDocs integrates with third-party services to provide functionality:

• Supabase: Database and file storage infrastructure
• OpenRouter: AI/ML model access for document processing
• Payoneer: Payment processing

These services have their own terms and privacy policies. We are not responsible for the practices or content of third-party services.

12. Disclaimers and Limitation of Liability

Service "As Is": ProcessMyDocs is provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

AI Accuracy: While we strive for accuracy, AI-powered entity extraction and document analysis may contain errors. You are responsible for verifying the accuracy of extracted data before using it for business decisions.

Limitation of Liability: To the maximum extent permitted by law, NovaVantix shall not be liable for:

• Indirect, incidental, special, consequential, or punitive damages
• Loss of profits, data, or business opportunities
• Service interruptions or data loss
• Errors or inaccuracies in extracted data
• Third-party actions or content

Our total liability for any claims arising from the Service shall not exceed the amount you paid us in the 12 months preceding the claim.

13. Indemnification

You agree to indemnify and hold harmless NovaVantix and ProcessMyDocs from any claims, damages, losses, liabilities, and expenses (including legal fees) arising from: (a) your use of the Service, (b) your violation of these Terms, (c) your violation of any rights of another party, or (d) your content or documents uploaded to the Service.

14. Modifications to Terms

We reserve the right to modify these Terms at any time. We will notify users of material changes by:

• Posting the updated Terms on this page with a new "Last Updated" date
• Sending an email notification to your registered email address
• Displaying an in-app notification upon your next login

Your continued use of the Service after changes take effect constitutes acceptance of the modified Terms. If you do not agree to the changes, you must stop using the Service.

15. Dispute Resolution and Governing Law

Governing Law: These Terms shall be governed by and construed in accordance with the laws of the jurisdiction where NovaVantix is registered, without regard to its conflict of law provisions.

Dispute Resolution: Any disputes arising from these Terms or the Service shall first be addressed through good-faith negotiation. If unresolved within 30 days, disputes may be submitted to binding arbitration or court proceedings in the appropriate jurisdiction.

Class Action Waiver: You agree to resolve disputes individually and waive any right to participate in class actions or representative proceedings.
